A good maintenance system is essential for ensuring reliable operations and keeping costs under control, whilst maximizing productivity. But how do you know if the system you’re using today is still right for your business? Here are four clear signs that it might be time to look for something new.
1. The system cannot scale up
A maintenance system that worked well when the business was smaller can quickly become a bottleneck as the company grows. If you have expanded with new facilities, more machines or more users, but notice that the system is becoming slow or requires manual workarounds to get a complete overview, this is a clear sign that the system cannot keep pace with the business.
Another warning sign is if new users or devices cannot be added without expensive upgrades or customizations. Outdated systems often require significant resources and expertise to upgrade, and the cost of updating can quickly approach the price of switching to a completely new solution. In that case, it is more cost-effective to actually switch to a modern and scalable solution instead.
2. Poor integration with other systems
Another sign that it is time for an upgrade is if your maintenance system cannot communicate with other key platforms, such as ERP, IoT, or production monitoring. This, in turn, can create isolated processes and lead to duplication of effort, which hampers efficiency. For example, if production uses a separate system for machine data and it cannot communicate with the maintenance system, important insights may be lost – such as identifying which machines are facing potential problems. This also makes it harder to optimise planning, which in turn affects efficiency. To meet future demands, a system will be required that is designed to integrate easily with other business systems, IoT platforms, or data analytics tools.
3. Outdated technology and poor user-friendliness
If your system is based on old technology that is no longer supported or requires extensive training to use, this is a clear sign that you should switch. It doesn’t matter how many features the system has if it isn’t easy to use. If your staff are struggling to understand the system, they will constantly have to spend time on repetitive or complicated tasks, and some may simply choose to avoid using it altogether. This is a major problem. Poor user-friendliness often leads to inefficient work processes and more mistakes – which ultimately affects the productivity of the entire organisation.
Newer solutions feature intuitive interfaces and automated functions that streamline service requests, planning, allocation, reporting and real-time data for quick and accurate decisions. This also creates a smooth flow in work processes and makes it easy for everyone to benefit from its features.
4. Difficulty accessing useful data
Data is only valuable if it can be turned into practical insights. An older system may well be able to store a lot of information, but if it needs to be handled manually to produce reports or analyse data in separate tools, this is a sign that you should switch. Effective maintenance systems collect, analyse and present data in real time, helping you make better, more informed decisions on matters such as maintenance strategies and investments.
An example of this is if you cannot obtain real-time data on which machines require servicing, but are instead forced to rely on scheduled checks. This, in turn, means you risk missing early warning signs of problems. You should have a system that can present clear reports and analysis functions directly within the interface.
