Move from an IT infrastructure that causes headaches to a well-organised system that accelerates your digital transformation
The modern business environment is teeming with data. Customer information flows through sales and marketing channels, stock levels are tracked in real time, and financial transactions are exchanged between departments. But what happens when all this data is stored in separate applications that cannot communicate with one another?
This is the reality for many companies struggling with integrations in their IT environment. Disconnected systems create a range of challenges that hinder efficiency, transparency and growth. Fortunately, there are solutions to untangle the integration web and streamline your processes! In this article, we’ll walk you through the steps you can take to sort out your integration mess.
Step 1: Identify the problem
The first step is to acknowledge that something isn’t quite right. Here are some signs that your business is having problems with its integrations:
- Your data is siloed and becomes inconsistent. Different departments use different systems and applications, leading to duplicate and conflicting information across the organisation.
- You have to enter data manually. Staff spend a lot of time manually transferring data between systems, a process that is time-consuming and also increases the risk of human error.
- Your reporting and decision-making are delayed. A lack of real-time data visibility makes it difficult to generate accurate reports and therefore hinders informed decision-making.
- Your customers’ experience suffers. Customer information is not easily accessible across departments, leading to disjointed interactions. Ultimately, this can mean that your customers, who interact with different parts of the business, are affected and receive a poorer experience and service.
Step 2: Draw up a plan for your integrations
To tackle these issues, you need a clear strategy. Without a plan, you’ll often get nowhere and risk creating even more ‘quick-fix solutions’. So, review your options and your strategy carefully. Bear these factors in mind when drawing up your plan:
- Define your integration goals. Identify the key business objectives you wish to achieve through better integration. Is it improved customer service, increased sales opportunities or real-time stock management? Choose what you want to achieve and prioritise these goals so that you can clearly select the activities that will lead to those specific objectives. We usually can’t do everything at once, so you need to define what is most important right now.
- Take stock of your applications and systems. Create a comprehensive list of all applications and systems currently in use within the company. This overall picture will help you piece together the flow of data, but also enable you to see where there is scope for efficiency improvements. Are there applications that could be merged or removed, for example?
- Focus on standardisation. Establish a set of standards for data formats and communication protocols to ensure the smooth exchange of information between applications. The more you can standardise, the more you can automate within your workflows. And automation saves you valuable time.
- Choose the right tools. Evaluate different integration platforms based on your company’s needs and budget. Cloud-based integration platforms (iPaaS), for example, offer a flexible and scalable solution. This may be a larger investment initially but will cost less per integration in the long run.
- Focus on security and compliance. Ensure your integration strategy prioritises data security and complies with relevant regulations. As the volume of data increases, so too will the need for security.
Step 3: Finding the right integration strategy
Once you have identified the challenges and drawn up a plan of action, there are several ways to manage your integrations. Each strategy has both advantages and challenges. Your choice will depend on your specific circumstances, your goals, and how your needs are likely to change in the future. Here are the most common ways to manage complex integrations:
- Pre-built connectors: Many iPaaS platforms offer pre-built connectors for popular applications, which simplifies the integration process.
- API-based integrations: APIs (Application Programming Interfaces) provide a standardised way for applications to communicate, offering greater flexibility.
- Custom integrations: For truly complex scenarios, custom code may be necessary. However, this is usually the most expensive and time-consuming option.
To find the best solution for your business, you need to consider how much in-house expertise you have and how your needs are likely to change over time. However, our experience shows that modern, streamlined integrations deliver the greatest business value in the vast majority of cases, both in the short and long term.
What are the benefits of streamlined integrations?
Integration issues are a challenge, but not an insurmountable one. Well-functioning integrations not only lead to improved efficiency and stronger competitive advantages but also lay the foundations for growth in today’s data-driven business landscape. With streamlined integrations, your business can benefit from a range of advantages, including:
- Automated workflows that free up time. Automating data exchange between applications means staff no longer need to spend time on manual tasks and can instead focus on the company’s core business.
- Improved data quality. Consistent and centralised data enables you to make better decisions based on real-time information.
- Improved customer experience. A seamless flow of data between departments enables you to provide your customers with a personalised, faster and better experience and service when they interact with your company.
- Reduced integration costs. A well-thought-out and comprehensive strategy eliminates the need for expensive one-off initiatives that ultimately end up as nothing more than ‘quick fixes’.
- Increased agility. A well-integrated ecosystem enables your business to adapt as market demands evolve, making it easier to adopt new technologies.
