A checklist for those who want to future-proof their integration solution
Many companies have a complex network of different applications that support their operations. For this to work optimally, companies rely on the data in these applications always being accurate and used correctly. However, for this to be possible and for processes to run smoothly, that data needs to flow seamlessly throughout the entire organisation. Companies with outdated integration solutions run the risk of creating isolated systems, which in the worst case can hinder both efficiency and growth.
Modernising your company’s integration processes is therefore a business-critical necessity – but where do you start? And how can you create business value without changing everything at once? Here is a checklist to guide you through the process:
1. Have you assessed the current situation?
Start by creating a list of all the applications and systems currently in use across your organisation. This includes everything from ERP systems and CRM platforms to internal tools and mobile apps used in various parts of the business. Having a clear overview of your IT infrastructure is essential for identifying integration needs and potential. Without a clear mapping of the current situation, you risk continuing to lock yourselves into solutions that are not sustainable in the long term.
Once you have a list of all applications and systems, you should analyse your current integration solutions: are they manual, point-to-point, or API-based? Identify areas with data silos, inconsistent processes and bottlenecks. These issues can hinder effective data sharing and collaboration between different systems and different parts of the business.
Finally, decide what you want to achieve with the modernisation. Is it an improved customer experience, real-time data insights or streamlined workflows? Having clear business objectives will help you prioritise integration needs and choose the right solution.
2. Have you chosen an integration strategy?
There are various strategies for modernising integrations, such as API-led integration, ESB (Enterprise Service Bus) or iPaaS (Integration Platform as a Service). Each strategy has its own advantages and challenges, so it is important to choose the one that best suits your needs. When choosing a solution, you should consider both your business’s current needs and situation, but of course also plan for the future. Are you set for a period of strong growth where the number of applications and systems will increase? In that case, you need an integration solution that is scalable and allows you to grow at the pace you want. If, on the other hand, you know that your needs will remain stable, a solution that you control and that gives you cost control is a good way forward.
Once you have chosen a strategy and solution, it is time to implement it. Make sure to test thoroughly to ensure that the integrations work as they should and that they meet your business objectives. Integrations are not static. They need to be regularly monitored and optimised to ensure they continue to function effectively and deliver value to your organisation.
3. Have you chosen the right integration tool?
To integrate systems with an iPaaS platform, there are three main methods: pre-built connectors, API-based integrations, and custom integrations.
Many iPaaS platforms offer pre-built connectors for popular applications, such as Salesforce, SAP, and Workday. These connectors are ready to use and significantly simplify the integration process, saving both time and resources.
APIs (Application Programming Interfaces) provide a standardized way for applications to communicate with each other. This flexibility makes APIs a good choice for complex integration scenarios. However, some development expertise is required to build and maintain custom APIs.
Custom integrations may be necessary to integrate systems that do not have pre-built connectors or APIs available. These integrations are tailored to specific needs and can be highly effective. However, they are usually the most expensive and time-consuming option.
The best method for integrating systems with an iPaaS platform depends on a number of factors, such as the complexity of the integration, the resources available in your organization, and your budget. Pre-built connectors are a good choice for simple integrations, while API-based integrations provide greater flexibility for complex scenarios. Custom integrations should only be considered when there is no other option. It is important to carefully evaluate all alternatives and choose the method that best suits your specific needs. Our best advice is to seek help from integration experts who have experience in your specific industry, so that you can avoid common pitfalls.
4. What comes next after implementation?
Once you have chosen and implemented an integration strategy, there are a few key steps remaining before you can consider the modernisation complete. Plan how you will migrate existing data from legacy systems to the new integration platform. This can be a complex and time-consuming process, so it is important to have a detailed plan in place before you begin.
Next, prepare your staff for the transition to the new platform. Provide training and support to ensure they feel comfortable using the new processes and tools. An effective communication plan is crucial for minimising resistance and ensuring a smooth rollout.
Finally, ensure you continuously monitor the performance of your integrations. Identify any bottlenecks or issues and make adjustments where necessary. Optimising data flow and efficiency can lead to significant improvements in system performance and user experience.
5. Are you planning for the future?
To ensure a successful long-term integration strategy, it is crucial to choose a solution that can scale with your growing databases and applications. The integration platform you choose must be able to handle increasing data volumes without compromising performance. This guarantees a smooth user experience and uninterrupted functionality. Similarly, your solution should be able to handle new applications or changes to existing ones. Your business is constantly evolving, and your integration solution should be able to keep pace with new business requirements and needs. The platform must be flexible enough to adapt to new applications, data sources and integration scenarios to serve as a modern and future-proof solution for your business.
